One campaign, eight stations.

This is not a feature list. It is the path every collaboration takes in Collavo — and at every station you’ll see what the system enforces, not just offers.

01 · Brief

The assignment exists before anyone searches.

Campaign goal, platforms, deliverables, key messages, budget frame: the brief is the dataset that offers, contracts and compliance checks will hang off later. It lives in the campaign — not in an attachment nobody can find.

What the system enforces

  • Campaigns move through fixed stages (draft → brief → sourcing → …) — no shortcuts, atomic transitions
  • Every status change lands in the sealed activity history

02 · Discovery

Only profiles that actually exist.

The marketplace lists only creators who opted in, whose social handles are verified via login, and whose follower counts come from the platform APIs. Matching explains its suggestions — signal by signal.

What the system enforces

  • Listing requires opt-in + complete profile + verified handle
  • Follower counts are written only by the API sync — self-reporting is locked
  • Unverified companies cannot send offers or invitations

Honestly: we only show engagement rates once they are computed live — there are no estimates here.

Why this suggestion

  • Niche matches the brief
  • Region: DACH
  • Within budget
  • 2 successful campaigns on record

03 · Offer

Negotiating with a protocol, not a gut feeling.

Offers are structured: compensation, deliverables, usage rights, exclusivity, timeline. Every negotiation round is recorded as a redline diff — who changed what stays traceable. Only the creator or their authorized management can accept.

What the system enforces

  • Every round documented as a diff, with a revert point
  • Rights terms are required fields — no offer without a usage scope
  • Acceptance only by the creator or an active mandate

04 · Contract

Signed, sealed — then untouchable.

The contract passes legal review, is signed by both sides in the platform and cryptographically sealed. If anyone changes even one field afterwards, signature and approval are void. The sealed contract automatically produces the usage rights every publish is checked against later.

What the system enforces

  • Order: legal review → complete rights terms → creator signature → countersignature → seal
  • Any later change invalidates signature and legal approval
  • Rights are materialized automatically — including expiry dates with early warnings

Honestly: this is an in-app signature with a cryptographic seal — not a qualified electronic signature under eIDAS.

05 · Production & review

Feedback on the timeline, not in quote chaos.

Creators upload drafts, the team comments directly on the video: second-accurate pins, point or rectangle, as threads. Versions stay separate; what is approved gets locked. Before every approval a compliance check runs — disclosure, brief requirements, forbidden claims, AI provenance.

What the system enforces

  • Approved versions are technically immutable (version lock)
  • Only brand managers or admins can approve — checked server-side
  • A failed compliance check blocks approval; overrides need a reason and are sealed into the log
  • Budget is already deposited with the payment provider at this point — production doesn’t start on a promise

06 · Go-live

The gate doesn’t ask. It checks.

Whether one click from the platform or via the creator handoff: right before go-live, Collavo checks server-side that the version is approved, the contract is signed and the rights are valid for platform, region and period. Instagram and YouTube are published via the official APIs; on TikTok the creator posts — with schedule, reminders and a live-URL proof.

What the system enforces

  • The publish gate is identical on every path — including “publish now”
  • Ad disclosure is set server-side (UWG §5a); AI content carries its label (Art. 50 EU AI Act)
  • Double posts technically impossible; every go-live is verified against the platform
  • Rate limits, retries and failure visibility instead of silent errors

Honestly: we deliberately offer TikTok only as orchestrated native posting — no direct publishing.

07 · Proof & insights

Numbers without invented zeros.

After go-live, Collavo collects performance where it originates: Instagram insights including demographics, YouTube analytics with watch time, TikTok basics. Stories are automatically preserved as proof before their 24-hour expiry. What a platform doesn’t provide, we show as “not available” — never as zero. Every deal gets a tracking link; at the end there’s a wrap report with frozen numbers, shareable as a link or PDF.

What the system enforces

  • Story frames + insights are preserved automatically before expiry
  • Availability flags instead of fake zeros — in every metric
  • The wrap report freezes the state at campaign end

Honestly: conversion measurement needs a small snippet in the shop (postback or pixel); attribution is last-click, 7 days.

“—” means: the platform doesn’t provide this — we don’t invent a zero.

08 · Payout

The money arrives — visibly, for all three sides.

After approval, the payout is initiated from the deposited budget. Brand, agency and creator see the same status in honest stages. Invoices are created per German §14 UStG with gapless numbers and a seal; for taxes there are a DAC7 export in the official format, small-business threshold tracking and DATEV CSV.

What the system enforces

  • Payout requires approval — not the other way round
  • Invoice numbers gapless, documents sealed, cancellation instead of edits
  • Every money movement appears in the campaign ledger, reconciled

Honestly: Collavo does not hold funds — payments run via the payment provider Stripe. Tax exports don’t replace tax advice.
